 Quoting and Estimation Guide

1. Site Visit and client consultation

After a successful pitch to the client, it is time to collect the right information to ensure an accurate quote is presented and the right equipment is ordered. Smartline has created two documents to assist in this process:

F227 Scope Cabinet Order Request - this document outlines the required information to ensure a successful installation and considerations around the site specific requirements. This document will need to be filled out and sent through with your order to Smartline.

Scope Fleetlist - this document is used to to determine required hose kits.

Order Request Support Document - this document is a helpful guide when filling out the F227 Scope Cabinet Order Request. It has instructions on how to complete it and useful tips to completing an accurate site estimation.

The documents can be found on the buttons below, we suggest you read them together to gain a clear understanding of site estimation. It may also be useful to consult the product manuals for further information.

2. Quote Preparation

Once the required information has been gathered from the site and the client, a formal quote can be prepared. The below is a suggested order to work through when preparing your quotation for your customer:

  1. Type and quantity of cabinets

    Depending on customer preference, choose either SlidaScope or RotaScope cabinets with a consideration that there will be enough storage for the number of scopes onsite. Also ensure that the correct code is used for either single door, pass thru, or pass thru X-Ray. This is also on the F227.

  2. Communication Kit

    This is required as one per site for every install. The communication kit has the basics required for the data system including a laptop kit, cables and a wifi router for the primary cabinet.

  3. Smart Stations

    In addition to the communication kit, sites will require at least 1 Smart Station for ‘at washer’ scanning and label printing. Consideration should be given for an additional Smart Station for pass through sites, or if the locations of the washer exceed a 10m radius.

  4. Installation, freight and training

    How you quote these services will vary depending on your company policies however the suggested onsite time for technicians during install are below (based on two trained technicians being on site):

    1-2 cabinets = 1 day

    3-4 cabinets = 2 days

    5+ cabinets = 3 days

    If the units are pass thru , an additional day should be added to the above mentioned install times.

3. Site Preparation

As a salesperson or project manager, it is important to assist the site in preparing for their install.

Pass Thru Units:

Pass through units will require that the hospital has pre-cut the correct size hole in the wall for the cabinets, in the right location. The below drawings can be sent to the client to assist in preparing the site for install:

Data and Electrical Works:

Before arriving onsite for the installation, the hospital should have completed electrical works for the data system and power requirements of the cabinets. You will find further information about this in the F227 and support documents, however it should be noted that for the cleanest install, point to point data should be installed for data transmission between washer stations, printer stations and the cabinets themselves (refer to schematic in Support Document).

Client Expectations

It is important during the planning stage to manage client expectations around the install process. This includes letting them know how long you will be onsite for, what you need them to prepare and the process for training them on the equipment. Some sites may request an out of hours install to avoid shutting down their operating theatres, this should be discussed early to allow for planning install technicians.
